Minimum Stay
- Year-round Halls of Residence: 4 Weeks. No departures will be accepted during October, November or December. Stays must begin and end on Saturdays and Sundays.
- Summer Halls of Residence: 2 weeks. Stays must begin and end on Saturdays and Sundays.
- Apartment / House Shares: 4 weeks. No departures will be accepted during October, November or December. Stays must begin and end on Saturdays and Sundays.
- Homestays: 2 weeks. A one week supplement of £15 will apply to bookings of under 2 weeks if an exception is made.
Minimum Age
- Minimum age for residences, apartments and house shares is 18 years.
- Minimum age for individual homestay bookings is 16 years.
- Junior students under 16 years are permitted if travelling in a group, with appropriate designated leaders.
Junior Students
Any student under the age of 18 is classified as a junior.
For homestays, a supplement of £15 per week applies for this age group to cover the cost of higher rates paid
to hosts, for their additional responsibility and DBS checks. Juniors may only be accommodated in a
homestay on a breakfast and dinner basis, and are not eligible for other meal plans. Superior category is not
available for this age group. In addition, long stay students aged 16 or under will require a legal UK guardian
for the duration of their stay. Daily curfews will also apply. All bookings are subject to availability of appropriate
hosts.
Accommodation in halls of residence will normally only be possible from late June to August, and only if
students have appropriate adult supervision. Please contact us for more information.
Junior students cannot be accommodated in apartment or house shares.
Booking Confirmation
Bookings can only be guaranteed after payment has reached our bank account. We reserve the right to
cancel any booking for which we have not received payment by the due date.
Arrival Time
When booking accommodation, you must inform Britannia or your host of your estimated arrival time at least 3
days in advance of your arrival in UK. This is to ensure someone is available when you arrive. Failure to do
this may result in you having to wait to gain access to your accommodation. Britannia will not be held
responsible for such delays, nor will we pay for any expenses incurred as a result.
Check-in
Guests can check-in from 14:00 hours on the day of arrival and should inform Britannia of their arrival time in
advance, to ensure a staff member is available for check in.
For residences, apartments and house shares, booking confirmation and photo ID must be shown on arrival,
and guests will be asked to sign an accommodation agreement.
Check-out
Guests must vacate their accommodation by 10:00 hours on the day of departure. All rooms must be cleared
of all belongings and returned in the same condition as on arrival. Keys must be returned to your host or to
staff at your accommodation.
A check-out form will need to be signed when leaving a residence, apartment or house share.
Sharing Rooms
Guests may book a single bed in a twin room (furnished with two single beds) in an apartment or house share.
Guests travelling together may book a double room (furnished with one double bed). Please note that whilst
room shares will always be single-sex, apartments and houses are shared by both male and female guests.
Twin and double rooms in homestays and halls of residence must be booked by two sharers traveling together.
Cleaning
Cleaning services and responsibilities differ depending on the accommodation. Guests are advised to check
the accommodation description for full details.
Extensions Of Stay
Guests wishing to extend their stay beyond the booked departure date should contact Britannia as soon as
possible to request an extension, which are subject to availability. If an extension is not possible, Britannia will
endeavour to find a similar alternative.
Cancellation Policy
- Year-round Halls of Residence: Cancellation, postponement or curtailment of stay received less than 4 weeks prior to arrival will incur a cancellation charge of 4 weeks plus booking fee.
- Summer Halls of Residence: Cancellation, postponement or curtailment of stay received less than 4 weeks prior to arrival will incur a charge of 4 weeks (or equivalent to whole stay for shorter bookings).
- Apartment/House Shares: Cancellation, postponement or curtailment of stay received less than 4 weeks prior to arrival will incur a charge of 4 weeks, plus booking fee.
- Homestays: Cancellations received less than 1 week prior to arrival will incur a cancellation charge of 1 week, plus booking fee.
Note: Until further notice, a full refund will be provided if cancellation is:
- due to a Covid-19 travel ban, imposed by any government or government institution, e.g. the FDCO, which is in effect on the day of arrival and which prevents the client from getting to their accommodation in the UK;
- due to a course of study/internship programme that the client has booked (and has been confirmed) to attend for a substantial period* during their stay at the accommodation, being cancelled by the course of study/internship programme provider altogether;
- due to a course of study/internship programme that the client has booked (and has been confirmed) for a substantial period* during their stay at the accommodation, being altered by the course of study/internship programme provider such that it is no longer available to be attended 'in person' and proceeds online only.
A refund will not be provided if the cancellation is due to a disinclination to travel on the part of the client, e.g. the course of study/internship programme provider offers both in-person and online attendance and the client chooses to not attend, or only attend online.
* a substantial period is considered to be for more than 70% of the period booked to stay in the accommodation. e.g. for a 10 week accommodation booking, attendance on the course of study/internship programme is for 7 or more of these weeks.
No-Show Or Curtailment
If you do not arrive at your accommodation or cut short your stay after arrival:
- Year-round Halls of Residence: Accommodation charges, once paid, are non-refundable.
- Summer Halls of Residence: No-show or curtailment will incur a charge of 4 weeks or equivalent to whole stay for shorter bookings.
- Apartment/House Shares: Accommodation charges, once paid, are non-refundable.
- Homestays: No refund will be made for no-shows. If you cut short your stay within the first 4 weeks, accommodation charges, once paid for are not refundable. After 4 weeks the booking may be cut short, provided that at least 1 week’s notice is given.
In the case of your accommodation being unsuitable, Britannia will endeavour to supply you with a suitable alternative.
Insurance
This international student travel insurance policy is designed to cater for the insurance needs of persons studying in the UK on a trip arranged by Britannia Student Services. The product provides cover including emergency medical assistance and medical costs, protection in the event of cancellation or curtailment, cover for loss, theft of or damage to baggage and personal money.

- No cover where the FCO or World Health Organisation has advised against travel
- No cover where travel is not departing from and returning to your home country
- Each claim will be subject to a £50 excess wherever an excess applies

Deposits & Fees
A one-time non-refundable fee of £25 applies to all bookings.
A per-person refundable deposit will apply to year-round halls of residence, apartments and house shares.
For stays being paid fully in advance, the deposit will be £250. For long stays being paid in instalments, the
deposit will be equal to the charge for 4 weeks stay.
No deposit applies to homestays or summer halls of residence.
Additional homestay supplements include: Bathroom supplement per room per week, subject to availability –
add £30. Special diets per person per week – add £15. Bookings over Christmas period (24/12 – 01/01), one-
off supplement – add £35. Summer supplement (June, July, August) per person per week – add £25.
Refunds & Bank Charges
Due to strict money laundering regulations in the UK, refunds are made through the same means by which
they are received. Fees paid by bank transfer from overseas will be refunded by bank transfer to the bank
account in the country from which they were received. Credit card payments must be done through an online
payment portal (Flywire). Cash payments cannot be refunded in cash and can only be refunded to a bank
account in the same name as the guest. Britannia will refund fees only and cannot refund bank charges.
Any bank charges levied by the UK and/or foreign bank when refunding fees will be deducted from the refund
by the banks in question and not paid for by Britannia.
Airport Transfers
Passengers must be travelling together from/to the same airport to/from the same address. Rates are subject
to a supplement for journeys over the Christmas and New Year periods, and Monday to Friday if travelling
through central London. A supplement of £10.00 per car applies to journeys from/to Heathrow to/from East or
South East London.
Complaints
In the unlikely event you are not happy with your accommodation, you should contact Britannia as soon as
possible. If necessary we will move you to an alternative room or accommodation. We cannot be held
responsible for the payment of fees for hotel stays or accommodation not booked by us in the event you
choose not to stay in the booked accommodation, for any reason.
Office Opening Hours
The office is open from 0930 – 1800 hours (London time UTC +00:00), Monday through Friday. Saturdays,
Sundays and UK national holidays are excluded.
